Privacy Policy

Effective Date: December 22, 2025
Website: www.techrhyme.com
Business Entity: TechRhyme LLC

1. Introduction

At TechRhyme, we help professional service firms and small businesses automate repetitive tasks—without collecting mountains of your personal data. This policy explains exactly what information we gather, why we need it, and how we protect it. No legalese. No surprises.

We’re committed to transparency because your trust isn’t a line item on an invoice—it’s the foundation of our business.

2. Information We Collect (And Why)

When You Voluntarily Provide It

  • Contact/Consultation Requests:
Name, email, phone, company name, and workflow details when you book a demo, download a resource, or contact us.
Why? To respond to your inquiry and tailor solutions to your needs.
  • Service Onboarding:
Business email, CRM/calendar credentials, and workflow specifications when you become a client.
Why? To build and maintain your automations (e.g., connecting your Gmail to QuickBooks).
  • Payments:
Billing address and payment details processed securely via Stripe (we never store full credit card numbers).
Why? To invoice you and comply with tax laws.

⚠️ Automatically Collected Data

  • Cookies & Tracking:
    We use minimal, non-intrusive tools:
    • Google Analytics 4 (anonymized IP tracking) to understand site traffic.
    • Calendly cookies to remember your booking preferences.
    • Essential session cookies for site functionality.
No third-party ad trackers. No hidden data brokers.

  • Log Files:
IP address, browser type, and pages visited (standard server logs).
Why? To maintain site security and performance.

What We Don’t Collect

  • Sensitive data (SSN, health records, racial/religious info) unless you explicitly provide it for a specific workflow (e.g., automating employee onboarding for your HR team). Even then, we delete it after 30 days unless legally required to retain it.
  • Data from your automations (e.g., your client emails, financial records). You own and control all data processed through your workflows. We only access what’s necessary to fix broken automations—with your permission.

3. How We Use Your Information

  • To deliver, maintain, and improve your automations.
  • To respond to support requests and send service-related updates (e.g., “Your Zapier workflow failed at 2 AM”).
  • To comply with legal obligations (taxes, subpoenas).
  • Never to sell your data or build advertising profiles.

4. Sharing Your Information

We do not sell or rent your data. We only share it when:

  • Required by Law: To comply with court orders or government requests.
  • With Your Explicit Consent: E.g., if you ask us to connect your automation to a third-party tool like Salesforce.
  • Trusted Subprocessors (with strict contracts):

  • Correct inaccurate or incomplete information.
  • Delete your data (unless we must retain it for legal/tax reasons).

6. Data Security

  • Access controls: Only 3 team members can view client workflow data—and only when necessary.
  • Regular security audits and breach response plans.
  • No data is stored on local devices—everything lives in encrypted cloud environments.

⚠️ Important: While we protect our systems, you’re responsible for securing your third-party accounts (e.g., your Gmail password). Enable 2FA everywhere.

7. Data Retention

We keep your data only as long as needed:

  • Website Visitors: Anonymized analytics data for 14 months.
  • Prospects: Contact details for 24 months after last interaction (then auto-deleted).
  • Clients:
    • Account data: For 6 years after contract ends (tax/legal compliance).
    • Workflow data: Immediately deleted when you cancel service or disconnect tools.
    • Payment records: 7 years (IRS requirement).

8. International Data Transfers
